If you are graduate as an executive assistant in S&M, in communication,  in marketing, project management or business with 2 to 3 years of experience, passionate, interested in supporting as a pivot person an effective sales team generating big deals all around the world, Memnon would like to meet you. 

Role profile

The mission of the International Sales & Marketing Assistant within Memnon is to support the sales team under the supervision of the Business Development Chief Officer.

Because the significant growth of the international market requires more support and makes good coordination essential, your role is to provide an efficient administrative support for the whole sales & marketing and business development team to guarantee the success of all bids and S&M actions.  This support also requires an active coordination of the people involved in or concerned by bids.

It’s a pivotal function with genuine responsibilities that keeps the S&M team running smoothly and allows sales people to focus on sales without having to deal with organizational and administrative issues.


Tasks and responsibilities

  • Assistance to sales & bids


  • Sales coordination assistance
  • Contribute to bids by writing, providing requested information and certificates, ensuring compliance with all formal requirements (formats, deadlines, signatures, certifications,…)
  • Coordinate all actions needed for completing a bid offer
  • Ensure an permanent and updated library of legal documents to provide as addendum to bids offers
  • Creation and design of Power Point presentations
  • Centralise and coordinate support requests from sales people to the S&M interns and assistant
  • Supervise and organize the trainings and the daily work of the interns working in S&M (daily, objectives, evaluations)
  • Ensure the turnover of S&M interns (recruitment, onboarding)


Assistance to marketing

  • Identification and understanding of public tenders in EU and outside EU.
  • Organize the follow-up within the S&M team of any potentially interesting tender
  • Assist the Chief Business Developer in organizing the S&M meetings, opportunities and sales reviews (meeting preparations, presentations, minutes…)
  • Coordinate prospection (according to quarterly plan)
  • Participate to commercial strategies and organization meetings
  • Ensure the good application and the permanent updates of the commercial software (CRM) – and that everyone in the team uses it correctly
  • Daily management of the email boxes : tender, contact, MemnonBox


Communication and events

    • Assist the S&M team for coordinating events and participations to conventions fairs and exhibitions : practical organization and logistics coordination, communication, invitations and appointments

Reporting Line

  • You’ll report to the Chief Business Development Officer
  • You’ll work closely work with Sales & Marketing team (sales people, CEO, interns,…)

Profile required

Education and Experience

  • Graduate as an executive assistant, S&M assistant or in communication, marketing, project management or business
  • 3 years in similar function (executive assistance, S&M assistance or communication)


  • Planning & Organization: strong organizational skills,
  • Assets writing and layout
  • Ability for team working and team coordination
  • Proficient in Microsoft Office tools : Word, Excel, Visio, Power Point
  • Experience on social networks communication

Languages :

  • Fluent in English (read, speak, write): C1
  • French : B2
